On Scene Response

Case management for victim services programs, from the first call through court and compensation.

On Scene Response is Advo360's core case management module. Advocates document crisis response, services, court activity, and compensation claims in one record for each survivor. Program directors get funder reports straight from that work. Every organization's data is encrypted, isolated, and logged.

For advocates and navigators

The people doing direct service work need tools that stay out of their way.

One record, every incident.

Each survivor has one record. Every incident links to it, and an incident can include several survivors and several perpetrators. A returning survivor never starts over.

Services in one entry.

A visit with three kinds of help is one entry, not three. A complex service visit can be documented in under 60 seconds.

Crisis calls in one click.

The system records the time and the responding advocate. During a crisis, no one is filling out a form.

Care Cues.

Follow-up reminders on a survivor's record, with a due date and an assigned advocate. Completed, never deleted, so the history stays in the file.

Notes that hold up.

Every note is dated and attributed. Notes are never overwritten. A correction is added as an addendum, and a mistake is struck with a reason, so the record shows what was written and when.

Work that survives an interruption.

If an advocate is pulled away in the middle of an intake, the form is saved securely and restored when they come back.

Stages that describe where a person is.

Crisis Response, Active Advocacy, Ongoing Support, Open Archive. An archived incident can return to crisis the moment it needs to, without waiting on anyone's approval.

Display IDs for shared spaces.

System-generated IDs let staff reference records in team meetings, multi-agency coordination, and face-to-face settings without exposing personal information. When an advocate is meeting with someone at a police department, a courthouse, or a shared office, no one else in the room can identify other people in the system.

For program directors and administrators

Funder reports from the daily work.

VOCA, including the quarterly performance measures, VAWA (OVW STOP, Rural, and Transitional Housing), FVPSA, HUD comparable database, and state-specific formats run straight from what your advocates documented. When the deadline arrives, you are reviewing data, not rebuilding it. See reporting

Compensation claims, tracked.

Each claim keeps its requests, the outcome of each request, milestone dates, and supporting documents in one place. Your team still files through your state's program. Advo360 keeps track of everything around it.

Court activity.

Protection orders, court outcomes, and court dates sit with the incident they belong to.

Volunteers without access to survivor records.

Volunteers log their own on-call activity, including a one-click report when no calls came in, and staff connect that work to the right survivor afterward. Volunteers never see survivor records.

Your vocabulary, the funder's categories.

Your service types, crime categories, and agencies are set up for your organization and mapped to federal reporting categories, so your staff never have to think in grant codes.

Configured for you.

Advo360 sets up your organization. Your team does not need IT staff to run it.

Built for survivor safety

Safety code words stay hidden.

Safe words and duress codes are masked for everyone, shown only when someone asks to see them, logged every time, and never included in reports or exports.

Protected addresses stay protected.

For survivors in an Address Confidentiality Program, every letter, report, and export carries the substitute address.

Restricted records.

An administrator can limit a survivor's record to named staff. For everyone else, the record does not appear at all.

Legal holds.

A record under a legal hold cannot be changed or deleted until the hold is released.

No cross-matching.

The system never matches a survivor's identity against perpetrator records.

For the organization

Advo360 runs on U.S.-based cloud infrastructure with required multi-factor authentication, role-based access, session timeouts, AES-256 encryption, and account lockout protections. Your board gets a real answer when they ask how client data is protected. Your funder gets specifics, not reassurances. See security

Your data is never locked in. Subscriptions are annual, and your records are yours at any point. Advo360 provides a complete export of your organization's data on request, with no fee to get your data back.

FAQ

How is Advo360 different from generic case management software?
It was built for victim services work. The terminology, data fields, role structure, and reporting are designed for this field. It is not an adapted CRM.
How long does it take to set up?
Most organizations are configured and running in under a week. If you are bringing records from another system, plan on two to three weeks, starting when we receive your data. Your current vendor controls how quickly and in what format your records are released. We help you request them, and you keep your current system running until your records are verified in Advo360.
Do we need technical staff to run it?
No. Advo360 configures your organization for you, and training is included. The interface is built for advocates, not IT professionals.
Can we access it from multiple locations?
Yes. Advo360 is a web application that works in any current browser.
Can several of our programs use it with their data kept separate?
Yes. Each organization's data is isolated from every other organization's, and access within your organization follows each person's role.

Your team should spend their time serving people, not managing systems.

That is the point.
